Talent Acquisition Coordinator

Mimecast is seeking a Talent Acquisition Coordinator to join our fast-paced global talent acquisition team. This position plays an important role supporting the talent acquisition and people function in various administrative and coordination tasks. As a customer centric professional, you will play a key role in delivering a great experience to our candidates, hiring managers, and talent acquisition partners, delivering the highest degree of administrative support across our team. Based out of our Lexington (Boston) office, you will support our TA function in North America, as well collaborating and working with the broader EMEA & APAC Talent Acquisition team.

Responsibilities

  • Manage all aspects of interview scheduling, coordinating both candidate and interview team calendars along with conference room / MS Teams bookings. Ensure scheduled interviews run smoothly throughout the day and week. Prepare and greet onsite interviews/candidates and manage their interview experience.
  • Proactive communication with TA Partners and the business on all interview activity, pre-employment screening, pre-onboarding, etc.
  • Manage new starter process with Facilities and IT.
  • Provide support for preboarding, onboarding and induction of new starters. Ensure a positive candidate experience and first day of orientation.
  • Work closely with recruiters to draft employment contracts and offer letters, ensuring that all employee documentation is properly signed and accounted for.
  • Manage the pre-employment screening process for hires, collaborating with our 3rd party partner, ensuring compliance, and escalating any flagged risks.
  • Maintain data and process integrity, via our Applicant Tracking System (Workday Recruit), and employee file management.
  • Corresponding with and creating great relationships with talent acquisition and HR colleagues, hiring managers and stakeholders.
  • Provide proactive communication with candidates in the recruitment process such as updates, interview confirmations, and requests for more information.
  • Assist with the planning and logistics of recruiting events and career fairs (on-site and external).
  • Support brand activities for talent attraction on social media, career site, job posting boards.

Job Requirements

Required:

  • Relevant work experience in HR, recruiting, or a similar administrative role. Understanding of basic HR and recruitment practices.
  • Experience scheduling interviews, coordinating recruiting events, and handling candidate communication. Experience with pre-employment screening processes.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook). Experience with HRIS software (i.e. Workday), ATS (i.e. Workday Recruit), recruitment-related tools, social media platforms.
  • Data management skills, including the ability to maintain and track candidate data accurately.
  • Strong written and verbal communication skills. Ability to communicate professionally with candidates, hiring managers, and other stakeholders. Interpersonal skills to collaborate effectively with team members.
  • Excellent organizational skills to manage multiple tasks and priorities. Attention to detail to ensure high accuracy in scheduling, documentation, and communication.
  • Time management abilities to meet deadlines and prioritize effectively in a fast-paced environment.
  • Customer service orientation to ensure a positive candidate experience. Team-oriented mindset with the ability to collaborate across different departments.
  • Problem-solving skills to address challenges that arise during the recruitment process.
  • Ability to handle sensitive and confidential information with discretion.
  • Adaptability to changing priorities and recruitment needs, strong follow-up and follow-through.
  • Willingness to assist with various tasks as needed by the talent acquisition team.
